Anaheim Convention Transportation Planning Guide
A useful transportation plan connects flights, hotels, convention sessions, executives, groups and evening events without making travelers decode the schedule at the curb.
1. Begin With the Convention Agenda
Start with the dates and the official event schedule. Mark airport arrivals, hotel check-in, registration, opening sessions, speaker calls, client dinners, hosted events and return flights. Transportation should serve those commitments; it should not create a second schedule that guests must manage.
Separate fixed movements from flexible ones. A keynote speaker’s call time is fixed. An executive dinner may work better with hourly chauffeur service when the ending time is uncertain.
2. Compare Airports Using Real Flights, Not Distance Alone
John Wayne Airport (SNA), LAX, Long Beach Airport (LGB) and Ontario International Airport (ONT) can all be relevant to Anaheim visitors. Compare nonstop availability, arrival time, terminal, baggage needs and the traveler’s next commitment. The closest airport on a map is not automatically the best choice for every passenger.
3. Create an Arrival List for Every Traveler
Record each traveler’s name, mobile number, airline, flight number, arrival airport, hotel and special instructions. Add luggage and exhibit materials to the same list. This makes it possible to group compatible arrivals while keeping travelers with different schedules separate when necessary.
International arrivals, checked luggage and delayed flights can change the practical pickup sequence. Provide the live flight details and keep a reachable day-of contact available.
4. Name the Exact Convention Destination
“Anaheim Convention Center” may not be specific enough for a large event. Include the event name, hall, entrance, registration area or organizer-designated location whenever it is available. The campus includes multiple halls, plazas and access points.
Reconfirm the location from current event instructions before service. Temporary road controls, security operations and organizer plans can change how a particular event handles arrivals and departures.
5. Decide Which Hotel Movements Actually Need Transportation
The Anaheim Marriott, Hilton Anaheim, Sheraton Park Hotel at the Anaheim Resort and The Westin Anaheim Resort are among the major hotels surrounding the convention campus. Some nearby guests may be able to walk. Avoid adding an unnecessary shuttle simply because transportation is available.
Private service becomes especially valuable for airport luggage, executives and speakers, off-site hotels, accessibility needs, hosted dinners, client entertainment and travelers whose schedules extend beyond the convention center.
6. Choose Vehicles From the Full Load
Count passengers and belongings together. A group with display cases, marketing materials or airport luggage may require more space than the passenger total suggests. South Coast can plan sedans, three matching blacked-out 2026 Cadillac Escalade ESVs, a 30-passenger Grech mini bus, a 56-passenger motor coach or a coordinated mix when availability and the itinerary support it.
Tell the reservation team about oversized items before the quote is prepared. Passenger vehicles are not freight vehicles, and belongings must fit safely without blocking seats, exits or visibility.
7. Build Multi-Day Service in Blocks
Organize the plan by day and by purpose: airport arrivals, morning venue movements, executive transportation, evening events and airport departures. Give each block a passenger group, pickup location, requested window, destination and contact.
For a large closing session, consider staggered departures or clearly assigned groups. One undefined mass pickup can create more confusion than several smaller, documented movements.
8. Plan Private Aviation Access Correctly
Executives and speakers may arrive through ACI Jet or Clay Lacy Aviation at John Wayne Airport or another Southern California private aviation facility. Provide the FBO name, aircraft schedule, passenger contact and tail number when available. Ramp-side or aircraft-side access is subject to the FBO’s authorization and security requirements and should never be assumed.
9. Request a Written Quote From the Complete Itinerary
A meaningful convention quote depends on dates, service windows, pickup points, passenger count, luggage or exhibit materials, vehicle type, wait time and the number of movements. A generic teaser price cannot represent all of those variables.

10. Send Guests a Simple Day-of Plan
Each traveler should know the pickup window, location, destination and contact method. Keep the instructions short enough to read on a phone. When a group is divided among vehicles, identify which passengers belong to each movement.
