Great Park Irvine Event Transportation Planning Guide
Use this checklist to organize the exact venue, airport or hotel movement, passenger communication, vehicle capacity and post-event pickup before traveling to Great Park.
1. Record the Exact Event and Destination
Begin with the event name, date, ticketed or scheduled start, organizer-provided destination and any assigned field, building or entrance. Great Park is too large for the park name alone to serve as a complete transportation instruction.
A Great Park Live concert, sports tournament, community festival, private program and family activity can use different areas and traffic operations.
2. Use the Official Information for That Event
Review the organizer's event page, ticket message, map and transportation instructions shortly before service. Do not reuse a curb, gate or parking area from a different event without checking that it still applies.
On event day, signs, venue staff, law enforcement and traffic officers control the final approach. A private reservation does not create access to a restricted road or parking area.
3. Separate Arrival From the Return Pickup
The best arrival point may not remain available after the event. Document the outbound and return movements separately: origin pickup, event destination, passenger exit, planned return meeting area and final destination.
Assign one lead passenger and one reachable mobile number so the chauffeur or dispatch team receives a single set of instructions.
4. Build a Post-Event Communication Plan
Send the group one short message with the planned meeting area, requested window, lead passenger and South Coast contact method. Guests should keep their phones available after the event.
Concerts can run long, tournaments can finish early and festivals may release large crowds at once. Allow for walking and communication instead of promising a fixed pickup minute.
5. Connect John Wayne Airport and Irvine Hotels
Great Park itineraries can begin at John Wayne Airport, LAX, Long Beach Airport or Ontario International Airport. Compare the actual flight, terminal, baggage, party size and event schedule rather than relying on a generic travel-time estimate.
6. Include Private Aviation Details
For an SNA private aviation arrival, provide the operator, FBO, estimated arrival, tail number when available, passenger contact, belongings and next destination. Aircraft-side access requires FBO approval and is never assumed.
The itinerary can connect an authorized ACI Jet or Clay Lacy Aviation pickup with an Irvine hotel, dinner and the event.
7. Match the Vehicle to People, Belongings and Access
South Coast can plan three matching blacked-out 2026 Cadillac Escalade ESVs, a 30-passenger Grech mini bus, a 56-passenger motor coach or coordinated vehicles when availability and the itinerary support the assignment.
Count luggage, sports equipment, instruments, coolers, mobility equipment and event materials as well as passengers. Larger vehicles may use different loading or staging instructions.
8. Plan Sports and Tournament Movements
Tournament requests should identify the exact field or facility, roster size, equipment, hotel, first report time and expected final movement. Multi-day schedules should list each day separately.
Team transportation and family transportation may need different vehicles or schedules. Separate them into confirmed movements instead of treating the entire program as one undefined shuttle.
9. Add Dinner, Hospitality and Irvine Stops
Include restaurants, Irvine Spectrum, corporate campuses, hotels or hospitality stops before choosing the service format. Exact addresses and reservation times help South Coast build a useful written quote.
Hourly service can fit several planned stops or a flexible evening, while a direct transfer fits one confirmed pickup and destination.
10. Include Accessibility, Bag and Security Checks
Tell South Coast about mobility equipment, assistance needs and preferred communication before service. Review the event's current accessibility, admission, bag and security rules directly with the organizer.
Private transportation does not bypass tickets, screening or event policies.
11. Choose the Reservation Structure
The complete itinerary determines the service structure. Event type alone does not.
12. Prepare the Written Quote Request
A useful quote reflects the actual movement. Generic pricing cannot account for event traffic, vehicle capacity, planned stops, waiting requirements and the return instructions.
